Position Description

Title: Administrative Assistant

Part-Time 20 hrs/week.

Day hours - times negotiable.

Deadline for application - November 1, 2019

 

Purpose: To provide secretarial and administrative service to the Pastor, staff, and church organization.

 

Accountability: Accountable to the Pastor as head of staff

 

Responsibilities:

  1. To perform the function of secretary to the Pastor, Staff, and Team Leaders. To include all typing.

  2. To produce materials through the computer and other office machines, and to oversee the use of these machines by others.

  3. To maintain church permanent records-e.g., membership rolls, minutes of the Team Leadership meeting, Annual Report and others as needed.

  4. To order office supplies and call for service or maintenance of equipment.

  5. To prepare church bulletins, programs, announcements, letters to the congregation and newsletter for mailing or distribution, agenda for Leadership Team Meeting, and The Annual Report.

  6. To request and supervise volunteers as required-e.g., newsletter, mailings.

  7. Will provide 30 days’ notice, if possible, to the chairperson of the Personnel Team for any medical absences.

  8. Responsible for updating the Website and Facebook for the United Church of Phelps.

  9. To order materials/supplies/resources as needed from the various church teams.

  10. To submit all paid advertising. This includes local papers such as Merchandizer, Finger Lakes Times, and Jump Start.

  11. To complete sexual harassment prevention training with certificate of completion on file within 3 months of hire and thereafter as required by government guidelines.

  12. To perform other duties as directed.

 

Relationship: Relates to the Pastor as head of staff with grievances to be discussed with chairperson of Personnel Team.

 

Evaluation: A performance review will be conducted annually by the Personnel Team in consultation with the Pastor. The Personnel Team will annually review the adequacy of compensation. The evaluation will be completed prior to annual budget. Within the first year of hire a 3 month review to be completed with Personnel Team. Skills required to fulfill the position include a sense of the local community relations, organization skills, to have acquired technical savvy and communication skills. The communication skills include but not limited to web, Facebook, PowerPoint, Microsoft Word or equivalent, Publisher, electronic media, customer based, and confidentiality.
